Xactimate prices below labor/material cost - help

    We primarily work insurance claims but not at this particular office location. However, a storm recently came through and the Xactimate numbers are coming back lower than our cost.

    Ultimately we want to make the homeowner happy and close the file. Generally, Xactware has fair prices that leave enough profit to cover all costs associated with the job while maintaining a decent profit margin. This time is different.

    Based on experience, can anyone shed some light on how this could be resolved without damaging the relationship the insured has with the insurer and allowing our company to build a quality roof? Xactimate is only a guideline, right?

    After a significant event, the laws of supply & demand apply and increased costs will avail. If this is a legitimate claim, a supplemental payment for the increased costs of labor and material should not pose any real issue

    The way we handled a similar issue last year (when a major shingle manufacturer had a large loss of it's own, thus raising the shingle costs significantly), was to have the contractor provide the costs paid for the materials and we would supplement the difference in what was allowed by Xactimate for material of like kind and quality. The only thing we required in these circumstances was that the insured or the roofer provide receipts for the material so that we could identify the differences. With regards to labor, Xactimate has fair, if not generous, cost allowances, and we did not negotiate at all for additional labor costs that were requested by contractors, so long as that labor was included in our adjuster's original scope of work.

    Hopefully this helps you out.. we need more honest roofers out there.

    Do your estimates have all the neccesary detail? If you install a pipe jack on a clay tile roof, you may need to spray paint it the reddish/orange color the original pipe jack had. There is a line item in Xactimate for spray painting the pipe jacks. You and I both know it can be part of the job.

    You might want to do a checklist for the items you want to get paid for: drip edge, 2nd layer tear off, extra layer of felt, higher shingle count due to reduced exposure, chimney flashing, valley metal, detach and reset satellite dish, paint fascia, Xactimate line item for 2 story roof, Xactimate line item for steep roof, skylight flashing, final cleanup (magnetic sweeper for nails etc.).

    I'm not saying you will get paid for everything you ask: the adjuster might tell you that clean up is included in the tear off price and the fascia doesn't need to be painted after tearing off the drip edge.

    I'm just saying its your job to ask for every detail you think is fair.

    There can be a fairly good chunk of money in the little details, including exact measurements.

    And what accelerated is saying is a good idea. You can ask the adjuster to write an estimate with separate line items for material and labor. Any "remove and replace" Xactimate line item can be broken into 2 new line items: one for labor and one for material only.

    Then you can do an apples to apples comparison of the estimated material cost vs. actual.

    But you also need to be careful you are not trying to get the insurance to pay for an upgrade. If you are proud to sell and install a high quality shingle that the customers love doesn't mean the insurance company should pay for it, if the house had a low quality product originally.
