ADJUSTERS OF AMERICA CHOOSES SCENE GENESIS SOLUTION FOR NETWORK-WIDE STANDARDIZATION AND COMMUNICATION Rochester, NY, Oct. 25— Adjusters of America, a nationwide network of independent insurance agencies serving the property & casualty (P&C) insurance industry, has chosen SceneAccess.net as the claim reporting and distribution mechanism of choice for its 250 member agencies. SceneAccess.net, an e-service designed for the P&C insurance industry by Rochester-based Scene Genesis, Inc., provides insurance professionals with content management, information repository and collaboration capabilities on the Web. Using SceneAccess.net as its primary front end, Adjusters of America will unite its member agencies online for compiling, analyzing and sharing information about customer claims. When an adjuster or customer in another city needs to access that information, he or she can enter a password at the SceneAccess Web site and pull up the information right away, complete with photos and documentation. Adjusters save time and effort using Web service Member adjusters can create customer claim files online, using the simple tools found at SceneAccess.net. They can organize all of their scene information—pictures and text—into electronic files for permanent storage at the SceneAccess.net site, and access these files in seconds over the Web by entering a password for each file. In addition, adjusters can send files and assignments automatically to everyone on their P&C team by choosing names and e-mail addresses they have stored at the SceneAccess.net Web site. SceneAccess.net automatically sends a link to the adjuster's distribution list, allowing these contacts to view the information right on the site—eliminating file incompatibility issues and long download times. The Customer: A statewide independent claims adjustment firm Claims Volume: 100,000 per year Number of Offices: 5, with separate filling cabinets in each office. After a claim is complete, the file is sent to the home office for permanent storage. The creator of the file continues to maintain working documents in the branch office to deal with any further inquiries. After five months, files are boxed up and sent into long-term storage for five years. Then they are destroyed. Permanent Staff: 140, including 25 office staff for clerical, data entry and filing. Additional: Use outside cat adjusters for storm overloads. File Compilation Methods: Digital cameras and standard cost estimating software for property, auto and casualty claims. Transmission of Files: Email, courier, overnight package delivery and faxes to send between field staff and home office. Fax and (usually) U. S. Postal Service to insurance companies, sometimes using overnight service or courier for critical deadlines. Strategy: We asked questions in order to develop a perspective on his operations, which enabled us to recommend a better way to create and maintain his files with more control and flexibility at lower cost. The owner first agreed that he would welcome any reduction in costs related to file maintenance and transmission of information within his own offices and to his customers, the insurance companies. He stated that security of files, especially in an on-line environment, was a matter of concern. He said that his current system allowed any employee to see any file by simply walking over to a filing cabinet and viewing it; he would prefer that files be maintained more confidentially on a need-to-know basis. He also asked if our system could accommodate his claims estimating software. He mentioned that long-term storage of files was costly and files sometimes tended to get lost as time passed. He agreed that the clerical cost of maintaining files was significant. He further stated that any improvement in service to his customers would be valuable, keeping him ahead of competitors and further solidifying his good relationship with his insurance company customers. We recommended SceneAccess.net. This system, developed and maintained by Scene Genesis, Inc., is the world’s leading repository of file documents and photos for the insurance industry. First, the claims manager assigns the claim to the appropriate adjuster, using the SceneAccess.net task assignment and review module. This module allows the manager to track the progress of all claims being processed. The assignment is executed by email, so there is no cost involved, such as long distance, fax operations, etc. The claims adjuster conducts his investigation and then creates the file as usual, using any estimating software and digital photography; then the adjuster submits the file to SceneAccess.net via the Internet. Since the folder is stored on-line and is readily accessible, there is no need to ever print the color photos. The cost savings of not printing photos is significant. In creating the file, the completed reports from the estimating software are printed to a “.tiff” file, using another module supplied by SceneAccess.net. This “.tiff” file can be stored in the folder and made available to any desired recipient. The recipient does not have to have a copy of the particular estimating software that created it. The tiff file can be any number of pages. By not having to create, store and maintain a traditional paper folder, significant cost savings are realized. By not having to physically send the file from the branch to the home office, another money-saving feature comes into play. The file having been created and stored, the manager is automatically notified and then reviews the information. Through the review module, he may make annotations to the work and, if needed, send it back to the adjuster for correction. This may be effected from any computer, even if the manager is away from his office. Again, there’s no cost involved and it can be done at any convenient time. After the file has been completed satisfactorily, it is then sent to the insurance company. This is done through the use of a Scene Card, which is similar in concept to an Internet greeting card. It’s important to note that there is no email attachment involved in any of these transmissions. Many insurance companies are justifiably wary of any email attachments, as they can bog down the receiving computer and can contain computer viruses. Keep in mind that viruses always come in email attachments. The Scene Card is an email message that contains an embedded link to the online location of the particular claim file. The recipient has access authority for a limited time, usually fifteen days. He may not view any other files at the site, as Scene Genesis uses the best and latest of firewall and encryption systems. If the insurance company is not a Scene Genesis customer, the recipient will then print out the file information for his files; if he is a customer, he automatically gets permanent ownership of the information and need not print it. No particular software is needed to be a recipient of a Scene Card. We then explained that the system has a function through which the user can easily set up a hierarchy of administrative staff levels. These levels prevent any unauthorized person from viewing any unauthorized data. Since your folder is stored on the file server, copied to a hot backup and stored in an archived file, it is quite secure. Searching for files is easy. They are indexed by numerous fields, as established by the user. Typically, these include claim number, insurance company, claimant’s name, type of policy, etc. Retrieving a particular file or group of files is quite easy and very quickly done. Naturally, the next question deals with the cost. The cost is entirely based on the number of files created each year. The more files that a company produces, the lower the unit cost. Cost runs from a high of just under a dollar per folder for smaller users, down to less than twenty cents each for larger users. Unlike much online claims software there is no “per station” charge. The customer may have a single user or any number, at no additional cost. Long-term storage is also included in the basic charge. The files are retained, ready for instant use, 24 hours a day, seven days a week, on a permanent basis. The owner may order his old files deleted when he deems it appropriate. The above is the entire cost of using this service. Compare the above cost against traditional costs. With traditional claims handling, the following costs (completely eliminated by SceneAccess.net) apply: 1. Photo processing (if digital cameras are not used). 2. Photo printing on color printers. 3. Paper and folders to create a file. 4. File cabinets. 5. Clerical personnel time. 6. Space for storage of files, both short term and long term. 7. Hard drive space, if photos are electronically stored in house. 8. Shipping and delivery of data from one location to another. Just imagine: getting rid of all those costs and having an easier time controlling the work. In discussing savings, a significant feature is the savings of time. Under traditional business practices, after each step in the process, there is time lost in transmitting information from one location to another. One alternative to this loss of time is using a fax machine; however, you cannot transmit photos on a fax, the quality is substandard, and large faxes tie up the customer’s equipment. Another alternative is email with attachments, so-called “fat” emails. These take time to download, tie up a computer in doing so, and may be blocked by the insurance company’s server if too large. The time saving experienced with SceneAccess.net is a major benefit, even discounting the money savings. Fast turnaround of claims processing makes the insurance company happy and will result in a competitive edge for the independent adjuster. In the case of the subject company, with 100,000 claims per year, the SceneAccess.net fee is only $3000 per month. That works out to only 36 cents per file. There is no software or upgrades to pay for, and no “per user” fee. The modest monthly fee is the only charge. All of this works on dialup modems. It is recommended that 56.6 kbs modem speed be used, or DSL service where available, since customers will be using the Internet more than previously. |

I like to say as a auto adjuster SceneAccess.net is the way to go. I no longer have to fear whether my electonic files will be accepted thru the email. I say big money in mailings and storage of my files and there retieval tools make looking up and reopening files a snap. A great way to communicate and move information which in the end will help you button line . |
